Canton Fair trip checklist


Before registration and bookings

[ ] Choose the phase for your product groups using the official category list.
[ ] Shortlist exhibitors and topics to discuss; record the relevant halls and booths.
[ ] Check the current overseas buyer badge instructions for your circumstances and any existing badge.
[ ] Pre-register in the official Buyer Service System and save your QR-code receipt.
[ ] Check entry arrangements for every part of the itinerary before booking flights and accommodation.

Before departure

[ ] Prepare your original passport, business card, pre-registration receipt and any other documents required by the current badge instructions.
[ ] Save your accommodation address in Chinese and confirm who will complete accommodation registration.
[ ] Save the route to the correct exhibition area, entrance and badge office; keep the current hall map available.
[ ] Confirm booth meeting times, the contact’s WeChat or phone number, and whether you need an interpreter.
[ ] Set up phone access and payments; pack a charger and keep essential journey details available offline.
[ ] If joining NZGBA’s networking evening, use the event’s own RSVP instructions and save the venue address separately from the Fair address.

At the Fair

[ ] Carry the badge and identification required for entry.
[ ] Group appointments by hall and allow time to walk between meetings.
[ ] Record the company name, contact, hall and booth beside each product photograph or sample reference.
[ ] For products you may buy, note the quoted specification, order quantity, price basis and sample arrangements.
[ ] Agree who will send the next quotation or product information, by when, and through which channel.
[ ] Ask before photographing people or sharing someone’s contact details.

After returning

[ ] Send each shortlisted exhibitor a product-specific follow-up, with the specification or sample reference you discussed.
[ ] Track promised quotations, samples and responses against the company and booth record.
[ ] Keep unanswered product questions with the matching photos and documents.
[ ] Compare the shortlisted options before deciding which conversations to continue.
